Automate report emails to stores

I'm not sure if I'm posting this in the right area.

We supply individual products to about 400 stores throughout Australia for two different vendors.
We use Salesforce to administer our order management system, which track each order from start to finish.

The products we sell are individually personalise by a customer, so each product is unique.
We need to inform each store once a product has been dispatched to their store via an emailed report.

At the moment we're using Conga Merge to create the report, and have gotten this down to a two click process to send the email.
This takes about 30 seconds per email, and at the current low volumes isn't too much of an issue.

If we keep on with this process, we predict that by the end of the year we could be spending up to 3 hours a day dispatching these emails.
This is obviously undesirable, so we're looking for an automated way to dispatch these emails.

Does anyone have any ideas on how to go about doing this, or any suggestions on who to approach?
