Report on usage of reports / cleaning of reports

We have to many reports in our system - many we believe no longer in use.

Is there an easy way of seeing when a report was used last time and by whom ? How many times a report has been used ?

Or do you have any other ideas of how to see which reports I can remove safely ?

Re: Report on usage of reports / cleaning of reports

I have a report of old reports and cull from there.

To create that report, go to the Reports tab and Create a New Custom Report.  The Reports report is under Administrative Reports.

For the first run I pull all the columns. It does include date of last run but not number of times the report has been run (which would be helpful!  I'll submit an Idea on that one!)

Then, based on our business rule, I delete any report that hasn't been run in the last 90 days.

Keep in mind you won't see any reports in users personal folders, so you won't delete stuff that they keep private and may, or may not, rely on.

That's how we handle it.

Thanks,

Re: Report on usage of reports / cleaning of reports

I just posted the idea to IdeaExchange: http://ideas.salesforce.com/article/show/10095637/Number_of_times_a_report_is_run

Feel free to promote!  :-)

Re: Report on usage of reports / cleaning of reports

Thank you ! That helped. I promoted your idea - it would be even better if we could get statistics on who uses a report and how many times. This way one could discuss with the users when possible deleting / changing a report.
