Security Question: Reports & Dashboard

I was hoping perhaps someone has experienced this same issue. The executive VP as well as other managers here have dashboards that display specific information that is only meant for them, however I am finding others at the company are using these dashboards (which they should not be)

I have changed report folders and dashboards so that they should only be displayed to specific users, but that has not worked. I even went so far as to hide it from all users, yet its still visible to them.

My guess is that its some security feature here that is overriding this function but I can quite figure it out.

I want our employees to be able to run their own reports but just not see specific folders with specific reports.

All our data is viewable to everyone at the company because its important that sales sees previous activities, account ownership, etc.

If anyone could provide any help I would certainly appreciate it.

Have you setup your role hierarchy properly? You may want to look into the "running user" for your dashboard and be sure that they are in a management role and have subordinates reporting up to them. It may be that your sales users who are able to see the data are in the same role or a role above your managers.

Also, you may have it set up so that the other users can actually see the summarized data on the dashboard itself but when they click the dashboard, the report behind it will only show their data. Again, this depends on how you have your role hierarchy setup.

the hierarchy is set up properly and all users are below the managers whose dashboards & reports they are viewing. When they click on the actual dashboard they can in fact see the full report.

I have gone so far as to hiding the entire reporting folder from "all users" and still those users can see it.

I emailed salesforce about it and I am guessing that something is enabled which is overriding this said function.

what happened was the old salesforce admin had everything as public, so the sharing rules were not being used. Once I turned the public sharing off and created rules for viewing, everything began working again. It was something simple like I thought and when I was told it, I couldnt believe that I didnt realize it earlier!
