Best Practice for Site Visit?

In my business, my primary goal is for a Lead to make a site visit to one of my represented properties. I have been tracking and reporting this through the creation of a Task called "Site Visit," which serves as a reminder that the person has committed to an approximate timeframe for a visit. Obviously, if I knew the exact date I could create an event, but most often that is not the case.

I would like a more reliable method to report forecasted Site Visits than the method that I am using. Various users may enter not consistently use that task name, so I want to create a method that is efficient and accurate.

Does anyone have a suggestion for accomplishing this?
